The first few days set the tone for how long someone stays. When onboarding is disorganized, with missing paperwork, no computer login, and nobody assigned to help, new hires notice, and turnover goes up. The fix is simple: a checklist you run the same way every time.
Before day one
- Send the offer letter and get it signed.
- Collect new-hire paperwork: Form I-9, Form W-4 (and the state equivalent), and direct deposit details.
- Run new-hire reporting with your state (this is required and has deadlines).
- Set up payroll so the first paycheck is correct and on time.
- Order equipment and create logins and accounts ahead of time.
- Send a short welcome email: start time, where to go, what to bring, dress code.
Day one
- Have someone greet them and give a workspace tour.
- Walk through the employee handbook and get the acknowledgment signed.
- Confirm payroll and benefits enrollment is started.
- Introduce the team and assign a go-to person for questions.
- Set up onboarding videos or training for tools and core processes.
The first 30 / 60 / 90 days
- 30 days: check in on the basics, do they have what they need to do the job?
- 60 days: review early performance and answer questions about benefits or pay.
- 90 days: a real conversation about how it's going, both directions.
